Project Administrator, Construction
Summary of this Role:
Over the next year, Midtown Alliance will advance projects valued over $20 million utilizing federal, state, and local resources. This work includes new streets, streetscapes, bridgescapes, parks and plazas. All projects are within walking distance to the Midtown Alliance office in the heart of Midtown. In close collaboration with consultants, contractors, construction managers, and public sector partners, you’ll ensure smooth operations and manage projects from initiation to completion, leveraging your skills in detail management, budgeting, and contract oversight.
Principal Responsibilities:
This position administers construction projects for Midtown’s capital projects program. This includes managing procurement, contract negotiations, agency and utility coordination, document control, progress reporting, schedule tracking, budgeting, invoicing, reimbursement requests with public agencies, and collaborating with stakeholders.
The ideal candidate will have a demonstrated knowledge of the fundamentals of project management, budgeting and invoicing, and contract management. Experience working with public agencies and horizontal construction is a plus. This position reports to the Director of Capital Projects.
Essential Duties and Responsibilities for this Position
- Administer project controls for schedules, budgets, and deliverables for consultant and contractor agreements, ensuring budgetary controls are in place for effective progress monitoring.
- Manage correspondence for procurement, permitting, contracting, reporting, financial reimbursement, project closeout, and other activities with City, State, and/or Federal agencies as needed.
- Review and approve invoices, and oversee financial reimbursement process, ensuring budget compliance and financial tracking.
- Maintain exposure logs and exercise risk awareness and management.
- Prepare, understand, and administer project contracts and associated documents (e.g. notices, change orders, grant agreements, project management agreements).
- Organize and file all project documentation, including copies of construction contractor documents (RFIs, submittals, meeting records, drawing revisions, etc.).
- Support procurement and contractor selection, preparing manuals and advertisements, analyzing cost estimates and proposals for informed decision-making.
- Coordinate and communicate with stakeholders, agencies and internal departments to maintain alignment and project continuity.

Minimum Requirements:
- 5+ years of experience in project administration or management capacity
- 3+ years of finance experience with expertise in budgeting, invoicing, and reimbursements
- 3+ years of experience in contract management
- Bachelors degree in finance, accounting, business administration, construction management, or a related field
- Technology proficient with an in-depth understanding of:
- Microsoft Suite, especially Word, Excel, Outlook, and SharePoint
- Adobe Acrobat
Stand Out from the Crowd:
- Experience working in the construction industry in a similar role
- Experience working with public agencies, specifically the City of Atlanta and Georgia Department of Transportation
- Degree in Finance Administration
- Scheduling/management software such as Microsoft Project, Primavera P6, Procore or equivalent
- Familiarity with Midtown, Atlanta, GA
